It exports every user's Gmail, Drive, Chat and more to a Google Cloud Storage bucket. Expect about 72 hours, sometimes up to 14 days, and download within 60 days before it's deleted.

For the Data Export tool, the super admin account must be at least 30 days old, 2-Step Verification must be on for that admin, and the Workspace subscription must still be active. Organizations with more than 1,000 users should contact Google Workspace support first.
Step by step
01Keep the subscription active
Don't cancel Google Workspace yet. Exports exclude data once a subscription is cancelled or suspended.
02Open the Data Export tool
Sign in to the Admin console as a super admin and go to Menu, Data, Data import & export, Data export.
03Start a full export
Choose a full export. It covers Gmail, Drive, Chat, Calendar, Contacts and other services for every user. Accounts created in the last 24 hours aren't included.
04Wait for it to finish
The export is available no sooner than 48 hours after it starts and usually takes around 72 hours. Large organizations can take up to 14 days. Once started, it can't be cancelled from the console.
05Download from Cloud Storage
Files land in a Google Cloud Storage bucket as zip archives organized by user and service. Single files download from the browser. Whole folders need Google's gcloud command line tool. Data in Google's temporary bucket is deleted 60 days after the export started, so download promptly.

The Admin console's user list shows storage used for each account. Add up Gmail storage across users, including former employees whose accounts you kept, and note how many years of mail you have.

Common problems
- Export button missing. Only super admins can use the tool, and the admin account must be at least 30 days old.
- Deleted users not included. Deleted data is excluded unless Vault retained it.
- Early packets expired. Big exports arrive over several days. Download each packet as it appears, since the 60-day clock starts when the export begins.
- Subscription already cancelled. Core service data isn't exported once the subscription is cancelled or suspended.
