Export Xero Data: Every Report and Record
Here is how to export xero data for the whole company. Xero has no single download button, and once you cancel you can't log in to get anything. Here's the full list to export first.
Xero has no bulk export. You export each area on its own: contacts, chart of accounts, invoices, bills, products, fixed assets, the general ledger and key reports. Do it before cancelling. After cancellation the data is archived and you can't log in or download it without paying to reactivate.

Step by step
01Don't cancel yet
Keep the subscription active until every export is done and checked. Xero has no read-only period after cancelling.
02Export lists
Export the chart of accounts, contacts, products and fixed assets from the paths above.
03Export transactions
Export invoices from Sales and bills from Purchases, with the date range set to all time.
04Export the general ledger
In Accounting, Reports, open the General Ledger and Account Transactions reports for your full history and export them.
05Export key reports
Export the Profit and Loss, Balance Sheet, Receivable and Payable Invoice Detail, Inventory Item List and Bank Reconciliation reports for every year.
06Save attachments you need
Xero has no bulk attachment download in the app. Save critical receipts and documents from each transaction, or use a developer and the Files API.
How to find the size of your Xero data
Count transactions and years: the Account Transactions report for all time shows total line items. Note how many years of books, and whether invoices carry notes and attachments.
What a full Xero export is worth

Buyers price on depth: years of continuous history with real discussion in it. A partial export or a single report is worth far less than the complete record.

Common problems
- Can't find an export everything button. There isn't one. Export each area separately.
- Already cancelled. You'll need to reactivate a paid subscription to access archived data.
- Repeating invoices missing. Repeating templates can't be exported. Record them manually.
- Attachments not included. CSV exports don't include files. Save them separately.
